Privacy notice
Accta is an assistant for owners of small businesses. It reads the money side of the business (balances, invoices, payments and, if you connect it, your calendar), works out figures in code, and drafts reminders that you approve. This notice explains what that involves. [For legal review: the name and address of the company that operates Accta, once it is formed.]
Who this covers
You, the business owner who signs up (Accta has one user per business), and the customers of your business whose details you give us or that we read from the tools you connect, so we can remind them about unpaid invoices on your behalf.
What we collect
From you
- Account: your email address, and your name if you sign in with Google.
- Business details: business name, your name, time zone, currency, how reminders should sound, and your settings (for example your safety line and payroll schedule).
- What you add: invoices, customers and their contact details, bills, payroll and other regular costs, bank balances you type or say, and bank statements you upload.
- Conversations: what you type or say to Accta and its answers. Spoken requests are turned into text to be answered; we keep the text of the conversation, not a recording.
From tools you connect (only if you connect them)
- QuickBooks: customers, invoices, payments, bills and your bank account balances as QuickBooks shows them. Read-only.
- Stripe: invoices and payments, through a restricted read-only key you create. Read-only.
- Google Calendar: your events for the coming days, to show today's jobs and calls. Read-only (the
calendar.readonlypermission).
Accta cannot move money, pay bills, or change anything in these tools.
About your customers
Their names, email addresses and phone numbers, the invoices they owe, the reminders we send, and any reply that reaches us. Replies to reminder emails go to your own inbox.
What we use it for
- To show your morning briefing: cash, payroll cover, who owes you, bills due and today's jobs.
- To draft payment reminders, send the ones you approve, and stop when an invoice is paid or a customer promises to pay.
- To answer your questions. Money figures are worked out by our code from your data, never estimated by an AI model.
- To keep the service secure, fix problems, and contact you about your account.
We do not sell your data or your customers' data, and we do not use it to advertise to you or them.
Who processes it for us
We use these providers to run Accta. Each receives only what it needs for its part:
- Supabase: sign-in, the database and uploaded files.
- Railway: hosting for the app and this website.
- OpenRouter, and the AI model providers it routes requests to: reading invoices, drafting reminders, turning speech into text and text into speech, and writing the wording of answers. They receive the text or audio needed for that request.
- Google (Gemini): live voice conversations, when you talk to Accta.
- Postmark: sending reminder emails you approve (once email sending is switched on).
- Meta: the ad pixel on this website only, and only if you allow it (see below).
[For legal review: where each provider stores and processes data, and the transfer safeguards that apply.]
Cookies, storage and the Meta Pixel
On this website (accta.si): if you choose Accept in the cookie banner, we load Meta's pixel, which sets Meta's advertising cookie (_fbp). It tells us which of our Facebook and Instagram ads bring people to the site, and Meta may use what it collects for ads. If you choose Reject, it never loads and no cookie is set. Your answer is stored in your browser; change it any time with Ad choices at the bottom of every page. The pixel is set up not to collect button text or page details automatically.
In the app (app.accta.si): no advertising or tracking scripts. The app keeps your sign-in session and a few preferences in your browser's storage so it works.
How long we keep it
While your account is open. When you delete your data or your account, we delete it from our systems and stop syncing from connected tools. [For legal review: backup retention period, and any records we must keep by law.]
Your choices and rights
- Disconnect any connected tool at any time; you can also revoke Accta's access from inside QuickBooks, Stripe or your Google account.
- See, correct, export or delete your data: see how to delete your data, or write to hello@accta.si.
- Depending on where you live, you may have further rights (for example under US state privacy laws or the UK and EU GDPR). [For legal review: the rights to list and how to complain to a regulator.]
Children
Accta is for businesses and is not meant for anyone under 18.
